How do I apply for supplier certificates?

General info

If a certificate needs to be added, has expired or is about to expire, it needs to be uploaded In Quasydoc.

Basic data > Supplier > Suppliers

New certificates:

  • Select the supplier

  • Tab "Locations”

If you have added a new supplier, there is no location attached to it yet. You need to create one before you send the request. This is to make it easy for the supplier.

To do this, go to the "Locations" tab. Click on the "New Entry" button at the top.

Fill in the location name (= company name) and select the type. Also fill in the contact information. Afterwards press the "Save" button. The location is now created.

Click on the "Location name".

Click on "Add Certificate".

 

The following screen will open: fill in the fields and click on "Add".

 

Updating certificates

 

  1. Click on the supplier for which you want to update the certificate.

  2. Click on the "Request Certificates" button at the top.

     

  3. Then indicate which certificate you want to update and click "Submit".

     

  4. The supplier will receive an email requesting the certificates to be uploaded. If the request is successful, you will receive a notification from Quasydoc:

Sometimes the request may not succeed, this can have following reasons:

  • There is no contact person designated as quality.

  • No email address has been entered for the contact person.

5. The certificates for which a replacement has been requested are marked with an exclamation mark.

6. If the supplier clicks on this question mark, the supplier is directed to the certificate overview of the

selected site.

7. The supplier must select the certificate type for which replacement has been requested.

8. Next, the supplier should click the "Renew certificate" button and fill in all the necessary data (score,

expiration date, etc.). If everything is filled in: button "Add".

9. If the certificate has been replaced, the supplier should return the request using the "send to customer"

button.

10. The updated certificate can now be viewed in Quasydoc.

Uploading certificates yourself


Some suppliers do not want to or cannot work with the Quasydoc system and send, for example, the

certificates by e-mail. These must then be placed in Quasydoc.

To do this, go to the Locations tab. Then click on the "Location Name."

Click on the "Add Certificate" button. If you want to renew a certificate already added, click on the name of

the certificate.

Fill in all the information regarding the certificate and attach the certificate. In the field score enter the

result of the certificate. For example, for BRC this is A and for IFS this is 97.36%. Then click the "Add."

button.

The certificate now hangs in Quasydoc and is now included in the follow up cycle (expired, near expired

certificates).
